My client is seeking a property project manager with the following values: integrity, excellence, respect, compassion, trust and transparency.
The successful candidate will provide support to the Manager by sustaining professional management of the total physical environment/property, new projects, innovation and contribute towards establishing effective platforms for communication and cooperation between all stakeholders.
The successful candidate will lead the maintenance and development functions for the buildings, gardens/grounds, roads and other infrastructure for the total village by providing both a reactive and proactive, multi-skilled maintenance service. The maintenance service also includes all operational equipment, assets and facilities.
Taking full responsibility for the scheduling of planned maintenance, creation of project execution programs and overseeing the adherence to the quality and timely completion of the work indicated in the related project plans and monitoring the quality and standard.
The successful candidate must increase operational effectiveness/productivity by creating, implementing and managing improvement plans in both the working and staff training areas. Ensure that Health, Safety and Environmental procedures are in place and that all requirements are adhered to. Driving the Key Performance Areas (KPAs) of the position.
o At least 3 to 5 years working/managing experience and knowledge of building, infrastructure and grounds maintenance, preferably in a village environment.
o Tertiary qualifications and/or training (diploma or similar) in the building and/or civil infrastructure fields would be advantageous.
o Hands-on experience in a maintenance environment – technical skills.
o Proven experience and ability in rejuvenating properties.
o Commitment to ongoing education.
o Familiar with applicable local laws and regulations.
o Knowledge of contractors available in the area and proven good working relationship with these contractors would be advantageous.
o Being bilingual (English is the formal/work language) – being able to also speak and understand Xhosa would be advantageous.
o Valid driver’s licence and reliable transport.
o The Property Project Manager must be able to deputise for the Village Manager in his absence.
o Great sense of responsibility and accountability when making business decisions.
o Ability to communicate with all levels of the different stakeholders. Strong interpersonal & business communication skills.
o High level of attention to detail.
o Good understanding of the management and control of a budget.
o Ability to work well under pressure.
o Exceptional planning, organizing and implementing skills.
o Computer literate – high competency in MS Office software, excellent skills in MS Excel (MS Project would be advantageous).
o Identifying issues and problems in advance – creating and implementing solutions for same proactively.
Key Responsibilities & duties
o Develop maintenance, implementation and monitoring procedures where necessary.
o Plan, schedule, implement and monitor proactive/preventative maintenance and repair programs.
o Plan, schedule, implement and monitor new development projects in conjunction with professional consultants.
o Working in conjunction with the client, their consultants/suppliers/project teams on the rejuvenation projects to ensure a seamless takeover to the required maintenance standard.
o Carry out regular inspections of the facilities to identify and resolve issues.
o Check all systems (electrical etc) of buildings to ensure functionality and compliance and maintain all compliance certificates.
o Ensure that all Health, Safety and Environmental requirements are adhered to by all staff, own contractors and resident/homeowner contractors.
o Ensure that all rules and regulations pertaining to any contractor/service provider/supplier coming onto the premises are adhered to.
o Ensure that the buildings and facilities are fit for purpose and provide proactive solutions if not.
o Monitor expenses and control the budget for maintenance, gardens/grounds and infrastructure.
o Manage relationships with contractors and service providers and ensure they comply with legal requirements.
o Keep maintenance logs and report at the bi-weekly Maintenance Meetings on daily activities.
o Report monthly in writing on a higher/summary level on all financial, property related information and issues, as well as all project related information to the Village Manager. The Maintenance Report to cover three distinct areas, i.e. Reactive/emergency repairs/maintenance, proactive/preventative planned/scheduled maintenance, rejuvenation projects/maintenance/upgrades.
o Resolve emergency/reactive maintenance issues quickly – action repairs during office hours or during standby/after-hours soonest.
o Conduct risk assessments of the status of all areas of the property as well as the processes governing the upkeep of same to the required standard.
o Attend various meetings and action instructions.
o Ensure that an effective interface with the Village Manager and other departments is maintained.
Working Conditions, Physical Effort and Attitude:
o Work involves daily exposure to different elements (wind, wet, cold, hot, dry), dirt, dust, fumes etc.
o The work environment involves daily exposure to physical risks, such as working around mechanical, chemical, and electrical hazards. The position requires the ability to stand; sit at a desk; walking around the office and village; lifting and carrying packages; utilizing fine dexterity, and reaching, kneeling, crawling and twisting to inspect equipment and do readings. It requires the ability to see, hear, and communicate with associates as well as residents, guests, suppliers and others by utilizing professional etiquette.
